School policy management
How schools manage policies as living governance documents — connected to the decisions that adopted them, the review cycles that maintain them, and the leadership work that implements them.
School policy management is the process of creating, approving, reviewing, and maintaining the policies that govern a school's operations. Policies touch almost every aspect of school life, from safeguarding and curriculum to finance, HR, and data protection.
Each policy carries governance responsibilities: a board or committee must approve it, a named owner must maintain it, and a review cycle must ensure it remains current.
For many schools, managing this across dozens or hundreds of active documents becomes a significant administrative challenge — particularly when policies live in shared drives disconnected from the governance record.
School policies typically span ten or more governance domains. LOOM classifies policies within a structured domain and topic hierarchy, making it possible to navigate the policy library by governance area rather than by document name:
Within each domain, policies are classified at topic level — enabling finer-grained navigation and ensuring that related policies are surfaced together.
A shared drive full of policy documents is not a policy management system. It can store files, but it cannot answer governance questions:
Answering these questions from a document store typically means searching across meeting minutes, email threads, and filing conventions that may have changed with staff turnover.
LOOM treats policies as governance documents — connected to the broader record of institutional decision-making.
Every policy approval is linked to the board or committee meeting at which it was approved. The governance decision record and the policy document are the same record, not two separate files.
Policies carry review dates, named owners, and review history. Governance calendars surface upcoming reviews so the board and leadership team can plan ahead.
Previous versions of policies are retained with their governance history. It is possible to see not just the current policy but how it has evolved across review cycles.
Policies can be linked to strategic initiatives — making visible the relationship between board-approved strategic direction and the policies that support it.
Each policy is scoped to the appropriate audience: governors, staff, leadership teams, or the wider school community. Access is structured accordingly.
Published policies can be shared through a tiered public portal — accessible to parents, staff, and governors at appropriate access levels, and embeddable into the school's existing website.
LOOM assigns each policy a structured reference code based on its governance domain and topic — for example, 03.02-0001 for the first document in the Safeguarding domain's Child Protection topic.
This makes policies addressable within governance discussions. Board minutes can reference specific policies by code, and the reference remains stable across review cycles — even if the document title changes.
Policies assigned to the general miscellaneous topic are automatically flagged for reclassification, ensuring the policy library remains well-organised over time.
Effective policy management is not a filing task. It is a governance function — one that connects the board's oversight responsibilities to the operational reality of the school.
LOOM brings policy management into the governance record, alongside board decisions, strategic initiatives, and leadership implementation. The result is a school where the relationship between governance decisions and organisational practice is always traceable.
